The Folder That Makes AI Sound Like You

For small business owners who tried AI and got answers that sounded like somebody else's business

If AI has ever handed you a reply that sounded like a press release, this is for you.

You asked a simple question about your own business. What came back was polished, polite and completely wrong for your customers. It didn't sound like you. It didn't know your prices, your process, or the way you actually talk to people.

That's not a sign AI isn't for you. It's a sign the AI had nothing of yours to read.

AI can only be as good as what it reads

Here's the part nobody explains up front. When you ask an AI tool a question with no material behind it, it fills the gap with the most average answer it can find. Average is safe. Average is also forgettable, and your customers can feel it.

When you give it your real words, everything changes. It stops guessing what a business like yours might say and starts working from what your business actually says.

The fix isn't a better tool. It's a better folder.

What goes in the folder

Before you build any AI helper, gather 5 to 10 real pieces of your business into one place. Here's what I ask people to start with:

That's enough to start. You don't need fifty documents. You need the right five to ten.

It doesn't need to be pretty

This is where people stall. They think the folder has to be organized, edited, formatted and perfect before they can use it.

It doesn't. Messy and real beats polished and fake every time.

A screenshot of a reply you sent last month is more useful than a beautifully written paragraph you've never actually said to a customer. Your agent needs to learn how you really show up, not how you wish you sounded on a good day.

So open a folder today. Drop things in as you find them. You can clean it up later, and honestly, you probably won't need to.

Why your old answers matter most

Of everything in the folder, the answers you've already written do the most work.

Think about it. Every time you answered a customer, you made a dozen small decisions. How much detail to give. What to leave out. When to point them to a call. How warm to be. Those decisions are your judgment, and they live inside those old replies.

When an AI helper reads your past answers, it picks up those patterns. It starts drafting replies that sound like someone who knows your business, because it's reading from someone who does.

Keep the folder focused on one job

One more thing. Your folder should match the one job you want help with.

If your first AI helper is going to answer new inquiries, fill the folder with your FAQ, your offers and your best replies to new people. If it's going to follow up with leads who went quiet, fill it with follow-ups that actually worked.

Trying to build one folder for everything is how you end up with an assistant that's okay at a lot and good at nothing. One job, one folder, one helper. You can always build the next one.

Then it drafts, and you approve

Even with a great folder, your first AI helper doesn't get the final word. It drafts. You read it, fix what's off, and send it yourself.

Every time you correct it, you learn something about what the folder is missing. Maybe it didn't know your refund policy. Maybe it didn't know you never book calls on Fridays. Add that to the folder, and the next draft is better.

That's the loop. Real material in, honest review out, and a helper that gets closer to your voice every week.

Your homework this week

Take twenty minutes. Name one job in your business you do by hand every week. Then open a folder and drop in 5 to 10 real pieces of material for that job.

That's it. If you do nothing else, you'll still be further ahead than most people who sign up for an AI tool and quit after an afternoon.

Build from your folder with me

The folder is homework one for Cohort 4, Phase 1: Build Your First AI Team Member. In Lab 1 on Wednesday, November 4, you'll build your first AI helper straight from what you gathered, live on Zoom, with help right there as you go.

It's six sessions over two weeks, Monday, Wednesday and Saturday, November 2 to 14, at 7 pm Eastern. No coding. Bring a laptop, your folder, and the one job you're tired of doing by hand. There are 44 seats, and you leave with one working AI team member that sounds like your business.

Cohort 4, Phase 1 is free and live on Zoom starting Mon Nov 2 at 7 pm Eastern. Save your seat.

Where Focus Goes, Energy Flows.
